Registration

All student clubs/organizations must complete Student Organization Registration if they wanted to be active and officially recognized by the university (formally known as Recognition and Renewal or Rec & Renewal). This process is completed every academic year through Student Leadership and Involvement Center (SLIC).

As a reminder, student clubs/organizations connected to departments are not exempt form this process and must also complete Registration annually.

Below are the steps that need to be complete to be registered as an Officially Recognized Student Organization (RSO). 

Completing this process will ensure that the student organization will have all rights and privileges for RSOs. If you have questions or concerns, contact studentorgs@csueastbay.edu.

You must complete this process, be approved, and receive an Official Recognition Letter from SLIC to ensure that the student organization has all rights and privileges of a RSOs. If you have questions or concerns, contact studentorgs@csueastbay.edu

Steps to Completing Registration (Returning Orgs)

NOTE: The PRESIDENT (or equivalent position) should be the one completing this form. No exceptions.

  1. Login to BaySync () with your Net ID and password.
  2. Navigate to “Forms” and locate the “BaySync” tab.
  3. Click on the form named [RSO] Student Organization Registration Form to complete and submit.
All Presidents, Treasurers, & Event Planners are required to complete RSO Officer Training. Officer Training consist Nuts & Bolts Workshop, completing the Canvas Modules, and Attending Fall Leadership Conference (FalCon) or Spring Leadership Symposium
  1. Nuts & Bolts Workshop, you must register and attend both Event Management and Financial Responsibility Workshop.
  2. When completing the Canvas Course, you will need to complete each module with at least a 90% to move forward and complete the course.
    The NAAT (Non-Discrimination Policy, Anti-Hazing Policy, Alcohol/Tobacco/Other Drugs Policy, and Title IX Policy) and Financial Agreement will be submitted via Canvas.
  3. SAVE THE DATE: Fall Leadership Conference (FalCon) is on Friday, September 25, 2026 in the University Union Multipurpose Room (UU-MPR). RSVP and more information will be out soon.

Every student organization must have a CSUEB faculty/staff (or part of auxiliary) member that serves as the student organization’s On-Campus Advisor. Student orgs can have co-advisors, both advisors must complete the [RSO] On-Campus RSO Advisor Agreement Form. 

It is the responsibility of the student organization to find an On-Campus Advisor and remind the advisor to complete the necessary requirements.

Off-Campus Advisors (alumni, nationals representative, etc.) are allowed but not required. The officers must complete the [RSO] Off-Campus Advisor Form on behalf of the advisor to give permission for communication to the individual(s).

Once all requirements have been completed, SLIC will review you registration for approval. Once approved, the organization will receive the Official Recognition Letter from SLIC.

Steps to Completing NEW Organization Registration

Identify at least five enrolled students who are interested in being officers of the organization. Identify two of the five students to serve in the roles of President, Treasurer, and Event Planner.

Identify a CSUEB faculty/staff/auxiliary member who is a state employee hired on a part or full-time basis to serve as an advisor to the organization. 

This form collects information about the prospective organization and notifies SLIC of this new interest.

  1. Login to BaySync () with your Net ID and password.
  2. Navigate to “Forms” and locate the “BaySync” tab.
  3. Click on the form named [RSO] Create a New Student Organization - Intent to Organize to complete and submit.

After submitting the [RSO] Create a New Student Organization - Intent to Organize form, you must schedule a meeting with SLIC RSO Staff to review the prospective new org's mission, purpose, goals, functionality, and to review applicable training content and the new org formation process.

Create a constitution that will be the organization's governing document. You can use the Constitution Template to help you and your team start building your new org's constitution/bylaws. The constitution must adhere to all guidelines outlined in CSU Executive Order 1068.

  • Priority Registration give your organization the ability host meetings, events, and activities right when the Fall Semester begins. Priority Registration will have your organization recognized starting from the start of August to May of the academic year.

    If you plan to host any meetings, events, or activities during the first 4 weeks of the Fall semester, you must complete Priority Registration and events be submitted in BaySync by July 31. Your organization's registration must be approved and recognized before submitting events in BaySync.

    Fall Registration period gives your organization recognition from October to May of the academic year. 

    Spring Registration period gives your organization recognition from January to May of the academic year. 

  • Becoming an officially recognized student organization will ensure for your org to have rights and privileges for Recognized Student Organizations (RSOs) such as campus reservations, event promotion, access to AS funds, ability to apply for ASI Funding, and access to your org’s very own BaySync page.

    • Organization Information
      • Full name, abbreviated name, organization email, category
    • Officer Information - You must submit all members who hold a position (up to 20)
      • You need a minimum of 5 CSUEB eligible student officers 
      • President, Treasurer, and Event Planner positions are required
      • Name, position, net id, horizon email, phone
    • On-Campus Advisor Information
      • Name, CSUEB email, title, department
    • Off-Campus Advisor information if applicable*
    • Upload the Constitution and Bylaws ()
      • Organization's constitution must be reviewed annually
      • The constitution must include the following areas (similar or equivalent): Name, Purpose, Authority, Membership, Officer (duties), Selection Process of Officers, Meetings, Advisor, Banking/Finance, & Amendments
      • If the constitution is missing any required areas, the organization will NOT be recognized until documents are approved by SLIC
  • Officers of the student organization must be elected/appointed as outlined in the organization's constitution/bylaws. The President, Treasurer, and Event Planner are required positions will be authorized by the organization to be page administrators to submit events/reservation requests and have access to the RSO’s AS Account, pending completion of Officer Training.  

    The President, Treasurer, and Event Planner MUST:  

    • Be a current enrolled student at least half-time (undergraduate 6 units / graduate 4 units). 
    • Have a minimum 2.0 GPA. 
    • Be in good standing with no academic alert or probation of any kind (academic, disciplinary, or administrative). 
    • Complete Officer Training Components: Nuts & Bolts Sessions, Canvas Modules, and Attend Fall Leadership Conference / Spring Leadership Symposium. 
  • Each officially recognized student organization must have a university advisor who is either a faculty member or professional staff member who is an employee of the CSU or one of its auxiliaries. Campuses may permit part-time faculty and professional staff to serve as advisors ().

    CSUEB faculty/staff, or a CSUEB auxiliary member can qualify to be an On-Campus RSO Advisor. 

     

    Who cannot serve as an On-Campus advisor? Undergraduate students who are student employees OR a graduate student who is also professional staff and is a current member or officer in the organization they are requesting to advise. 

  • Student orgs can have Co-Advisors, both advisors must complete the [RSO] On-Campus RSO Advisor Agreement Form.

    4. Complete and submit the form for review by SLIC RSO Staff.
